Infrastructure Manager

The Infrastructure Manager will report to the Senior Technical Operations Manager and will be responsible for developing, implementing and supporting the IT infrastructure for the firm. This includes managing the firms computing resources in the primary and secondary data centers, IDF’s and server rooms in all offices. The Infrastructure Manager is responsible for the engineering, implementation and maintenance of the network & computing infrastructure. This position maintains Active Directory, routers, switches, firewalls, VPN connections, remote access systems, wireless access and connectivity between all Holland & Hart offices.

This role requires the Infrastructure Manager to work effectively with, and exert positive, timely influence across the enterprise (e.g., legal, security, contracts, procurement, operations, and internal user communications) as well as externally with clients, regulators, strategic partners and competitors. The Infrastructure Manager must possess an excellent knowledge of, and background in, IT operations, network, server and storage technologies, as well as a high level of business acumen and be able to communicate effectively at all corporate levels, including at the executive level. Understanding the ability to move between a traditional data center and the cloud depending on needs, costs and other factors will be essential. A critical element of this position will be an in depth understanding of hybrid-cloud environments and strategies for its effective use in the modern organization.

DUTIES AND RESPONSIBILITIES:
• Develop and implement a strategic, long-term infrastructure strategy and roadmap to ensure Holland & Hart’s technology infrastructure is stable, scalable and modern
• Develop, mentor, and manage a high performing staff of network, systems administrators and engineers and other technology professionals
• Think clearly and creatively to solve technical problems
• Develop and maintain procedures governing the operation and maintenance of network systems, including hardware, backup, DR/BC, wireless and BYOD
• Has authority over all aspects of network and telecommunications equipment.
• Ensure the Unified Communications Strategy is effectively implemented and all infrastructure and technology is appropriately utilized, including both voice and video services
• Ensures all phases of systems administration are properly coordinated, monitored, documented, tracked and maintained at an optimal functional/performance level
• Maintain metrics on all infrastructure including but not limited to asset management and inventory, up time, time to detect and time to resolve and capacity and usage trends
• Provides hands-on support for any system issues/problems by working with other firm administrative members, consultants, vendors, and others deemed necessary to address an incident or problem
• Works with and manages vendors, service providers, and consultants to help maintain systems and services, resolves support incidents, and completes projects
• Adheres to all IT policies, procedures, standards and guidelines.
• Utilizes an incident tracking system to document all requests and issues reported by employees
• Helps develop and advises the Firm on IT procedures, policies, and best practices
• Helps develop and advise the Firm on industry changes and latest technologies and security protocols, as well as the appropriate evolution of the Firm’s network
• Responsible for preparation of the preliminary yearly infrastructure budget
• Works closely with the security team to ensure the timeous application of appropriate patches. Ensures new infrastructure is on boarded with a security mindset and the entire infrastructure footprint is periodically reviewed, audited and remediated, where necessary, to ensure tested and appropriate security controls are in place
• Maintains appropriate utilization of all cloud and physical computing resources through the use of virtualization, containerization and other industry standard technologies

Requirements:

• 10 years’ Information Technology experience in the data center, server, storage and / or networking arena
• 5 years in a technology leadership role preferred, prior management experience an advantage
• Bachelor’s degree in computer science, information systems or other technology field preferred
• Cisco, VMWare, Microsoft or other technology certifications helpful
• Must be collaborative, creative, and driven with a proven ability to be a team player

Marketing Coordinator - All Office Locations

The mission of the Client Services team is to drive revenue through innovative approaches to marketing, sales, business development, service delivery, and client experiences.  The role of the Marketing Coordinator will be to support the Client Services team’s mission and help the team to achieve its short- and long-term goals.

Duties and Responsibilities:

The Marketing Coordinator will divide his or her time supporting the needs of (1) Energy Industry Group and Environmental Practice Group; and (2) Client Services Team Special Projects.

Responsibilities will include:

  • Assist with client research and the creation of materials for Requests for Proposals and client pitches.
  • Assist with assembling and sending client alerts and practice/industry group newsletters.
  • Maintain and update Practice Group and Industry Group mailing lists using the firm’s CRM.
  • Create and maintain calendar of internal and external Practice Group and Industry Group events.
  • Coordinate Practice Group and Industry Group sponsorships (tracking, registration, processing payments, list management, promotional materials, etc.).
  • Help to coordinate submissions for awards and recognition on individual attorney, Industry Group, and Practice Group basis.
  • Event support including scheduling and planning, invitations, tracking attendees, and day-of-event logistics and coordination.
  • Coordinate marketing collateral with marketing manager(s) and graphic design team.
  • Update lawyer profiles for website, social media, and industry group organizations.
  • Assist attorneys to prepare Power Point and other presentation materials.

Requirements:
  • Two to four years of experience in a law firm or other professional services environment preferred.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and experience with Adobe Creative Suite (Photoshop, InDesign) and Office 365 preferred.

Intellectual Property and Billing Specialist

Holland & Hart is seeking a hybrid Intellectual Property and Billing Specialist to support their dynamic, growing electronics-focused patent practice in Denver or Boulder, CO.  

Duties and Responsibilities:

  • Performing monthly billing tasks

  • Preparing, printing and distributing prebills.

  • Processing final bills requiring advanced billing functions including flat fee billing, client level billing, and split billing. Obtaining write-off approvals as needed.

  • Preparing e-files for transmission by the Billing Supervisor.

  • Reporting to the Billing Supervisor the status of assigned bills.

  • Processing various time, disbursement, billing and accounts receivable reports for attorneys, staff and clients. Assisting the Billing Supervisor with account reconciliations and other research projects.

  • Reviewing screening memos for billing guidelines, billing rates, client and contact information and verifies all data is correctly entered in the client database.

  • Researching client credits and preparing check requests with proper documentation for the Client Accounts Manager’s approval.

  • Assisting in month end closing duties.

  • Performing back-up duties for other Financial Services staff as needed, including, but not limited to, accounts receivable, disbursement entry, and file imports.

  • Supporting our patent attorneys in docket and practice management

  • Performing tasks associated with the preparation and prosecution of patent applications:

  • Manage and perform range of duties related to an internal electronic file system

  • Generate templates for patent applications, and responses to various Office Actions (including but not limited to: a Filing Receipt, Notice to File Missing Parts, Response to Office Action, Notice of Publication, Notice of Allowance, Issue Notification; and Letters Patent) as they relate to correspondence/filing with USPTO, PCT, and foreign associates

  • Prepare additional templates for various legal documents (Declaration, Powers of Attorney, Assignments)

  • Review formalities of filed patent documents to ensure proper form, including Filing Receipts, Declarations, Recordings, Information Disclosure Statements, allowed patents ready to issue, etc.)

  • Perform electronic filings at the USPTO

  • Managing new client intake and opening of matters

  • Performing other functions as assigned.

Secretarial Assistant

Docketing Manager

The Docketing Manager (DM) has immediate leadership responsibility for the civil litigation docketing team and their performance of the intake process and calendaring of events in the litigation docketing system for stored documents received from the U.S. District Court filings (ECF), state court docketing items and any internal docketing requests. This position also has general oversight responsibility for all other docketing needs within the firm. This position also monitors court sites for changes in the filing process and may assist in the training process for processing both USDC filings and state court filing receipts.

• Manager with general oversight responsibility for the litigation docketing team. 

• This position will coordinate the schedules and day-to-day operations of the litigation docketing group, including both direct (Denver based Docketing Specialists) and indirect reports (regional office Docketing Specialists). 

• As it relates to state court docketing and in order of process, the DM: a) oversees the specialists’ receipt of the state court docketing receipt or the case team docketing request via email to docketing team mailbox; b) ensures the docketing specialist saves the documents to the appropriate N: Drive location; c) adds any associated docketing events to the CompuLaw Vision application; d) generates a docketing report for case team review, verification and approval and; e) then moves filing receipt or docketing request and team notification email to appropriate matter folder.

• As it relates to the management of the litigation docketing team and in order of process, the DM: a) is responsible for assisting the Director with personnel decisions on the litigation docketing team; b) is responsible for the performance and cohesion of the litigation docketing team; c) delegates and approves the performance of  administrative tasks by the litigation docketing specialists; d) holds regular meetings with docketing specialists, both individually and as various groups.
 

Requirements:
  • The DM must be able to work: with minimal supervision, in a high volume, intellectually repetitive environment while maintaining a high attention to detail, and must also understand the sensitivity on the timeliness of the processing of the files and calendaring of events.
  • JD - This is a non-practicing attorney role; however, the need to review and interpret court rules is a must.
  • Proven leadership, communication and management skills a must. 
  • Basic computer and troubleshooting skills required to include Microsoft Outlook, Internet Explorer, Adobe, CompuLaw Vision, CompuLaw MyView, CompuLaw Sync for Exchange Administration, Word, Excel and DeskSite.
