Legal Billing Specialist

Holland & Hart is seeking a Billing Specialist who is responsible for processing client bills using full knowledge and understanding of accounting software, including electronic billing and third-party vendor sites. The position provides assistance to attorneys and secretaries to ensure accurate time and disbursement entries and completes all billing to meet established deadlines. The position provides assistance as needed to management and to the Client Accounting team.

Requirements:

  • Prepares and handles all aspects of billing for specified attorneys and/or clients as assigned.
  • Assists attorneys and staff with billing questions.
  • Works directly with clients relating to their billing guidelines, e-billing setup, and any other billing questions or issues.
  • Processes various time, disbursement, and billing reports for attorneys, staff and clients.

  • Front-end focused engineers - core fluency in fundamental web development technologies including JavaScript, CSS, HTML5, and AJAX. They should also be familiar with common web development frameworks including JQuery, AngularJS, React, and Vue.js
  • Data science focused engineers – experience with Python and core data science tools (e.g., scikit-learn, torch/tensor flow). Understanding of machine learning techniques and algorithms, such as sequence-to-sequence models, conditional random fields, k-NN, Naive Bayes, SVM, Decision Forests, etc. is a plus.

File Clerk

The Practice Groups Support Analyst will provide front-line practice group support to the PGL(s) through assuming administrative and analyst PGL functions as assigned by the PGL(s).  Such functions include intra- and inter-practice group meeting planning, coordination and assisting in business development and marketing efforts (including market specific intelligence), group performance reporting to the PGL (timekeeper productivity and performance) which includes data analysis, assisting with new attorney onboarding, and overseeing and promoting innovation, technology and practice enhancements for the Practice.  The analyst will also support professional development and recruiting, , and support diversity plan.

Requirements:
  • Prepare, and analyze (as required) practice group reports for PGL review and distribution.
  • Manage and update practice group experience database and attorney expertise/industry group membership.  Coordinate and manage with client services internal and external timekeeper marketing/bio information, practice group descriptions (including website content).  Coordinate with client services on practice group marketing materials and PR efforts. Advises on data and results to best promote and assist with Practice client development.
  • Group strategic plan updating and progress management as directed by the PGL, ensuring deliverables are communicated and provides support for them, as needed, throughout the year.
  • Schedule, facilitate and coordinate inter-practice and cross-practice group meetings. Lead responsibility for organizing, planning and coordinating logistics for practice group events, meetings and retreats in collaboration with client services.
  • Develop and maintain practice group deal-book and case results and experience (real time as deals close and cases conclude).  Provides insight and suggestions on results. 
  • Assist with strengthening and deepening client relationships and teams though effective and timely communication and management of deliverables.
  • Assist recruitment with the onboarding of new attorney and paralegal hires; support practice group integration efforts for both new and existing attorneys assuring a smooth new hire transition into the practice group. 
  • In coordination with professional development, support and help to drive group training, mentoring and continuing education programs.
  • Assist with group workflow and workload management.
  • Facilitate communication between practice groups, industry groups, individual offices and other firm leaders as requested by PGL.  Assist PGL with content development, such as drafting practice group business updates and other practice group communications.

Primary Duties and Responsibilities:

Innovation Lab Operations Manager

Primary Function

Serve as trusted advisor to the Director of Innovation and liaison with the TIO office. Take primary responsibility for the day-to-day operations of the Innovation Lab (Lab).

Specific Responsibilities

Strategic Planning and Execution

  • Work with the Lab Director and others in preparing the Lab’s annual business plans. Assist the team in executing on their plans and in helping to coordinate the firm resources necessary for doing so. Monitor performance against these plans throughout the year and keep all parties informed – Lab Director, Firm Managing Partner, Firm COO, Firm CFO.
  • Work with PGLs and other internal “customers” of the Lab to ensure that their perspectives and development needs are represented in the Lab’s plans and that agreed- upon initiatives and projects are executed.

Financial Performance Management

  • Develop and monitor annual budget and expenses for the Lab; develop and monitor annual revenue, budget and expenses.
  • Develop, monitor, and report on key development and performance metrics, including staffing, activity levels, productivity, project completion; keep Lab Director continuously informed as to performance of the Lab during the year; identify any issues, and assist in addressing those issues; identify specific developer / scientist / analyst and other staff performance issues and address those issues.
  • Hold monthly performance review meetings with Lab Director and others responsible for managing developers /scientists /analysts, and for assigning work.
  • Prepare monthly performance reports, with appropriate analysis, and distribute them to Lab Director and others as appropriate.
  • Work to create a realistic P&L measure for the Lab; work towards measuring the Lab’s contributions, its’ overall value to the Firm, and its’ profitability contribution
  • Assist in creating a proposal generation, client billing, invoicing, and collections system.

Project Management

  •  Work with all interested parties – i.e., Lab Director, TIO Office, Managing Partner, relevant PGLs, and others – to identify high-impact assignments and prioritize them in relation to Lab capabilities and resources.
  • Work with the Lab Director and others, manage discussions and decisions for off-the- shelf software as they relate to filling practitioner needs, in lieu of creating new products within the Lab
  • Manage the project list, workload and development schedules of the Lab; maintain focus on priority projects.
  • Consistently look for ways to make the project assignment and execution processes run better - more efficiently and more effectively.
  • Improve communication both into and out of the Lab between developers and users; monitor and continuously enhance the Quality Assurance function.

Recruiting and Resource Management

  •  Work closely with the Lab Director to identify recruiting needs for both the Lab.
  • Help to better define all the existing roles and responsibilities of the developers, scientists, analysts; use this clearer understanding to inform and craft the development and performance metrics.
  • For approved hires / positions (new and replacement), partner with the HR Business Partner/Recruiter to help develop the job descriptions and manage the recruiting, interviewing and hiring process; coordinate with Firm HR and recruiting firms as needed.
  • Partner with HR Business Partner/Recruiter to ensure proper protocol is followed for job postings and offer approval.
  • Help to codify and improve the department level on-boarding, orientation and training process for new hires, with the goal of supporting them in contributing optimally to the Lab’s productivity as quickly as possible.
  • Maintain regular performance monitoring and review processes for team members as prescribed by Firm HR performance management strategy. Partner with HR Business Partner to ensure proper protocol is followed for performance and compensation management. 
  • Partner with HR Business Partner to ensure a successful transitioning-out of departing team members.

Professional Development

Work closely with the Lab Director and Firm Professional Development staff to identify training needs and play a leadership role in ensuring that the appropriate training is provided to executive staff (Director and Operations Exec) / developers / scientists / analysts.

Business Development, Marketing and Client Relations

 When appropriate, liaise between Firm Client Relations, Marketing/Business Development, and Communications teams to work towards supporting the Firm’s overall strategic communications and branding goals, expanding business from specific client targets, and raising awareness in the marketplace.

  • Manage selected business development initiatives.
  • Manage development of marketing and business development materials.
  • Work with Communications team on articles, interviews and other strategic communications.
  • Lead effort in creating awareness for business development opportunities.

Technical Resource Management

Work closely with Lab Director to identify technology, platform and infrastructure needs for the Lab and business development efforts. Lead the process in developing the business case for these resources. As necessary, work with Firm management and TIO to acquire, install and integrate these resources. Track industry trends and contribute to the continuous improvement of the Lab’s technical toolset.

Internal Meetings and Communication

  • Work to ensure that Lab team members have high-functioning meeting and communication protocols.
  • Organize monthly meetings and assist Lab Director in developing the agenda. Organize at least monthly Lab group meetings and assist Lab Director in developing the agenda.
  • Attend Firm MCOM, practice group and TIO meetings (as appropriate) and present on various topics relating to financial performance and management issues.

  • Lead development of Lab retreats from a substantive and operational standpoint

Requirements:
  •  Undergraduate degree from accredited college or university in Engineering, Business Administration (or relevant curriculum). Graduate Engineering degree and/or MBA preferred. Some law firm / legal services experience not required, but helpful.

Private Client Group Coordinator

Work closely with Private Client Group on wide variety of matters including trust administration, wealth transfer projects and executive level support for attorneys.  Serve as the administrative coordinator for Private Client Group.

DUTIES AND RESPONSIBILITIES:

  1. Client Management.  Responsibility for managing attorney and client demands, coordinating deadlines across a wide range of projects, ensuring that annual tasks are completed timely and without direct supervision.  This position requires almost fanatical follow-through and attention to detail and the ability to work independently with strong initiative. 
  2. Executive Assistant Level Support for Attorneys.  Work with attorneys to prepare materials needed for applications for American College of Trust and Estate Counsel, Chambers, the Bar in Wyoming, Utah and Nevada, and similar.  Work with attorneys on Blog posts, Articles, CLE presentations and other support.  Coordinate Private Client Group meetings and retreats.  Prepare agenda for Private Client Group meetings and follow-up with attorneys to ensure that open items from prior meetings are addressed, including associate reviews and training, marketing outreach and form review and creation. 
  3. Client Meetings.  Meet with clients to execute estate and wealth transfer planning documents.  Coordinate with Private Client Group secretaries to ensure that all original documents are properly recorded, added to system databases and returned to clients immediately following execution.
  4. Client Communication.  Communicate directly with clients and develop strong relationships with clients and advisors.  Responsibility for identifying and drafting necessary client and advisor team communications (i.e., understanding client transaction, team and preferences sufficiently to know when and how to send communications).  This could also include follow-up regarding annual filings such as with the Colorado Secretary of State, preparation of income and gift tax returns and coordination of annual payments.
  5. Wealth Transfer Documents.  Responsibility for handling client documents, including (1) preparing charts illustrating complex wealth transfer plans; (2) understanding wealth transfer transactions in order to prepare detailed and concise summaries of transactions; (3) organizing signed documents and preparing closing binders (both paper and electronic .pdf binders); (4) updating closing binders (paper and electronic) for ongoing transactions; (5) preparing packages of final documents marked for execution by the various parties; and (6) creating, maintaining and organizing H&H wealth transfer records and files.
  6. Coordinate and follow-up with other Firm Resources.  The Coordinator will act as a liaison between the Private Client Group and other firm resources, such as Practice Support, IT, Billing, Human Resources and Professional Development (PROCOM) to ensure that both Private Client and firm initiatives are being implemented.  Some examples are as follows:
    1. Research.  Provide background research regarding potential and current clients.
    2. Liaison Between Private Client Group and Practice Support/IT Departments. Meet regularly with Practice Support to ensure Private Client Group needs are being satisfactorily resolved. Serve as the administrative and IT support team member of the Forms Committee to streamline the process of preparing simple estate and wealth transfer planning documents.  Be available to Private Client Group members to resolve simple IT/training questions.
    3. Administer Estates Database. Maintain database and approve entries requested by secretaries in order to track originals and ensure we know the location of a client’s estate planning document. Prepare Shred Authorizations as necessary.
    4. EZ Docket/Compulaw. Responsibility for creating and maintaining EZ docket/compulaw records for various client-related deadlines (e.g., secretary of state reports and annual transactions such as note payments and gifts), including (1) understanding wealth transfer transactions sufficiently to identify which items need to be docketed and (2) superb follow-up with attorneys, clients and advisors to ensure that tasks are completed.
    5. Billing.  Ensure bills are being sent out on a timely basis.  Resolve billing issues between attorney, clients and the billing department.
    6. EIN Documentation:  Work with others to (1) maintain and keep current the log of EINs assigned to our estate and wealth transfer clients and (2) process and forward client EIN information to the IRS with requests for new EIN blocks.
  7. Trust Administration.  Responsible for trust administration tasks including coordination of distributions, payment of expenses, accountings and other communications to trustees, beneficiaries and outside advisors.  Set reminders for repeated tasks and take the lead for ensuring these are completed.
